Introduction
Welcome! This guide is here to help ministry leadership get started using the HA Dossier, which is what we use to log data, understand trends, and run the ministry. This guide will focus on the broad concepts of how the sheet works, and how to use it in every day operation.
The Dossier has two parts: a logging sheet, and the data viewer. Every term, you will have a logging sheet which will be where you log what the ministry is doing. This sheet will be changed every term, and doesn’t have any custom formulas within it. Then there is the data viewer. The data viewer takes all of the raw data from the logging sheet and processes it so that you can understand what is happening in the ministry.
Start of Term
Duplicate the Log Template, and acquire an edit link to it. You may want to move over the roster and mentoring staging sheets, but you should probably leave the others blank. Once you have an edit link, add it to the table and to cell B2 of the “Keys” sheet. It may ask you for permission to link the two sheets.
The Log
The log sheet is what you will be using on a day to day basis to record data. Only one of the sheets in the log has formulas, so for the most part you will not have to worry about breaking sensitive areas. To ensure consistency in recordkeeping, please always use forum names on the log. The log has three types of sheets: log sheets, list log sheets, and miscellaneous sheets, which we will cover separately below.
Log sheets are where we keep records of individual contributions to the ministry. We have such sheets for Rows, Mentoring, and Pen Pals. While each of these sheets is different, they generally have columns for list number, the forum name of the contributor, and the amount of contribution (e.g. 100 rows or 2 mentees). The columns on each sheet are labelled to avoid confusion.
List log sheets are where we record information about manual telegram and mentor lists themselves. They usually include statistics on how many total rows or mentees a list contains, the date the list was released, and the list number. For manual telegram lists, there are spots for both the list start and end date, and while a list is in progress you can leave the end date blank.
There are also two miscellaneous sheets. One the sheets is “Mentoring Staging”. On the top left, you can categorize the new mentors you want to add to a list. On the bottom right, it will make the list for you for easy pasting. Make sure that you check that non-citizens haven’t applied for citizenship, so that you can categorize them correctly. The other sheet is the roster, which contains data about ministry staffers.
The Data Viewer
Now, let's take a look at the Data Viewer. Broadly speaking, the Data Viewer provides detailed statistics for each thing the ministry does, which is currently Manual TG Lists, Mentoring, and Pen Pals. There is also a sheet for tracking the new rewards program and for setting up mentoring lists. Please note: do not type in any cell which does not have a blue border.
Lets start on the “Row Breakdown” page. This page is meant to show the individual contributions of each member of the ministry to manual telegramming lists. A neat feature on this sheet is the indicator on the right which indicates the number of rows done by “former members”. This indicator should sit fairly constant the entire term, so if it changes, make sure there isn’t a typo in a person’s name on the log. It is now important to reiterate to always use forum names when recording.
Let's move onto the ‘Per List Statistics’ page. Here we have columns of statistics, which are fairly self-explanatory. Something to consider is the two percentage categories, of which one is the amount of the total list completed and the other is the amount of the claimed rows which were completed. Those will often be different, so make sure to read carefully.
Next we have the cards page. On the left side is an outline of the relevant statistics for the target month. On the top right, we have date selection and overall statistics for each month. Cell G5 holds the percentage which determines which type of card should be handed out for the month. If it is colored red, no cards should be awarded. If it is yellow, Epics should be awarded. If it is green, Legendaries should be given. On the bottom right, under “Qualifying Members”, is all the members of the ministry who met the buy-in requirement for cards in the month. Cells G1-2 are where you put the start and end date of the month in which you are giving out cards. These data formats MUST match “YYYY-MM-DD”
We will now talk about two pages at once. The “Mentoring” and “Pen Pals” pages are similar to the “Row Breakdown” page, but focused on mentoring and pen pals respectively. On the left is the name of the member of the ministry, then the total contribution they've made, and then the last participation in their respective part of HA. For mentoring, mentors who have red colored cells haven’t been active in a month or more.
